We helped the Work Environment and Educational Design departments at Banedanmark reduce work overload using Viewly as their shared communication hub for tasks, capacity and priorities.
SITUATION
Senior management was facing an increasing volume of tasks and a persistent sense of overload that made it difficult to plan and deliver consistently. The ambition was to protect employees from overwork, while at the same time improving performance and strengthening collaboration through better dialogue, planning and prioritisation – with a clear focus on continuous improvement.
RESULTS
The application of Viewly as a centralised system resulted in a one-step planning process that effectively integrated task and resource planning, while at the same time providing visual management through automated dataflows and built-in dashboards. With a shared overview of tasks, capacity and progress, management and teams were able to make informed decisions about sequencing and staffing of tasks based on insights into capacity and individual workloads.

Viewly made bottlenecks, dependencies and meeting time visible, so management could see where work slowed down, where capacity was under pressure, and where a small adjustment would make a big difference. Over time, this supported a more systematic approach to continuous improvement: plans were adjusted based on flow and performance, and discussions about workload became transparent, proactive and fact-based.​

The combined effect of Viewly and the tailored programme was a more coherent way of running operations: better use of available resources, fewer surprises, and clearer alignment on what truly creates value across initiatives and departments. This did not replace dialogue or decision-making – it gave everyone a common basis for participating and finding solutions to problems affecting their daily work.​​

DELIVERABLES
BY ERROR designed and delivered Viewly, as well as planned and facilitated the training and coaching sessions and workshops. The implementation was structured as a scenario-based learning journey, where management and teams took part in hands-on sessions built around their specific roles, responsibilities and workflows.

In these sessions, they developed the capabilities needed to manage workload and resources more effectively together by using structured data and dialogue for continuous improvement.​
